ERP software in Lucknow that runs purchase, stock, sales and accounts on one set of numbers

AI ERP connects the purchase order, the goods received, the stock on the shelf, the invoice and the ledger, so every department reads the same figures. Ask it a question in plain language and it answers from live data, inside the permissions of the person asking.

  • Purchase, inventory, sales and GST accounts in one system
  • Built-in AI assistant over your live data
  • Cloud, private cloud or your own server
Overview

When separate tools stop adding up

Most businesses arrive at ERP the same way. Billing runs in one program, stock in a spreadsheet, purchase on WhatsApp and accounts with an outside accountant, and at month-end someone spends three days making the four agree. The trouble is rarely any single tool. It is that nothing connects the goods that came in to the money that went out.

AI ERP is a modular ERP: you start with the modules where the leakage is, usually inventory and purchase, and add sales, accounts, production or job-work as the first ones prove themselves. Every transaction is entered once and flows on. A goods receipt raises stock and the supplier’s payable together; a sales invoice reduces stock, books revenue and prepares the GST record in the same step.

The assistant is what the “AI” stands for, and it is deliberately narrow. A manager can ask “which items are below reorder level at the Kanpur warehouse?” or “outstanding from distributors older than 60 days” and get the answer from the ERP’s own tables, with the same row-level permissions that user has on screen. It does not invent figures, and it cannot see what the user cannot.

For a business in Lucknow or anywhere in Uttar Pradesh, implementation is done in person: we sit with your stores, purchase and accounts teams, migrate masters from Excel or your current software, and run the old and new systems side by side for a full cycle before you depend on the new one.

Who it is for

  • Trading and distribution businesses with more than one godown or branch
  • Manufacturers with bills of material, job-work or outsourced stages
  • Businesses that have outgrown billing software plus spreadsheets
  • Groups that need consolidated reports across companies or GSTINs
  • Owners who want answers without waiting for a report to be made
Features

What AI ERP does

Purchase from indent to payment

Indents, approvals, purchase orders, goods receipt against the PO, rejections and supplier bills, with the approval trail kept. Supplier-wise outstanding is always current.

Inventory that matches the godown

Multi-location stock with batches, lots and expiry where you need them, transfers between branches, and valuation that follows the actual movement rather than a month-end estimate.

Sales, despatch and collections

Quotations, sales orders, delivery challans and invoices from one record, with customer credit limits and ageing so collections are chased from a list, not memory.

Accounts and GST from the transactions

Ledgers, cash and bank, and GST invoices generated by the operational entries themselves. Returns are prepared from the same data instead of being re-keyed.

Production and job-work

Bills of material, work orders, material issued to job-workers and received back, rejection and rework, so outstanding material with every job-worker is visible at any moment.

Role-based access and audit trail

Users see only their branch, module or rows. Edits to posted documents are logged with who changed what and when.

Plain-language AI assistant

Ask questions over live ERP data and get tables, totals and links back to the documents behind them. Answers respect each user’s permissions.

Dashboards and reports you already use

Your existing MIS formats rebuilt on live data, plus stock, sales, purchase and outstanding dashboards by branch.

Workflow

How work flows through AI ERP

  1. Step 01

    Indent and purchase order

A store raises an indent, it is approved and converted to a PO for the chosen supplier.

  2. Step 02

    Goods receipt

Material is received against the PO; accepted quantity raises stock and the supplier’s payable.

  3. Step 03

    Stock and production

Stock is issued to production or transferred to a branch, every movement recorded.

  4. Step 04

    Sales order to invoice

An order is despatched and invoiced; stock falls and the GST invoice is created in one step.

  5. Step 05

    Collection and accounts

Receipts are matched to invoices and the ledgers, outstanding and GST data are already up to date.

  6. Step 06

    Questions and reports

Managers read dashboards or ask the assistant; the month-end close starts from reconciled numbers.

Engagement

How we deploy AI ERP

  1. 01

    Process walk-through

We watch how purchase, stores, sales and accounts work today and note where the numbers stop agreeing.

  2. 02

    First module chosen by pain

Usually inventory and purchase. It goes live before the rest is scoped in detail.

  3. 03

    Masters migrated

Items, parties, opening stock and balances come across from Excel or your current software, cleaned on the way.

  4. 04

    Parallel run

Old and new run together for one full cycle and are reconciled before you rely on the ERP.

  5. 05

    Hosting and support

Cloud, private cloud or your own server, with backups, updates and an annual support contract.

What we need from you

  • Item, customer and supplier masters in whatever state they are in
  • A sample of each document you issue: PO, challan, invoice, receipt
  • Your chart of accounts and GST registrations
  • The reports you cannot do without

None of it has to be tidy. Discovering that your data is messier than expected is part of the job, not a reason to delay starting.

Pricing

How a AI ERP quotation is worked out

We don’t publish a price list, because two businesses rarely need the same setup. After a short call you get a written quotation that separates one-time setup from yearly costs. It depends on:

  • Which modules you start with, and which follow later
  • Number of users, branches, godowns and companies or GSTINs
  • Data migration, which depends on the state of your current records
  • Custom reports and workflows beyond the standard modules
  • Hosting: our cloud, your cloud account or your own server
  • The annual support and maintenance contract

Prices are quoted excluding GST.

When to choose something else

  • A single shop that only needs billing: start with POS software instead
  • A business whose accountant only needs a ledger and GST returns: GST accounting software is enough
FAQ

AI ERP — questions buyers ask

How much does ERP software cost for a small business?

We quote after a short call, because the price depends on the modules, the number of users and branches, data migration and hosting. You get a written quotation that separates one-time setup from the yearly support cost, and the first module is priced on its own so you can judge it before committing to the rest.

Is it cloud ERP or on-premise?

Either. It runs on our cloud, in your own cloud account or on a server in your office. Businesses with unreliable internet at a plant often choose a local server with cloud reporting.

What does the AI assistant actually do?

It answers questions about your ERP data in plain language, such as stock below reorder level or overdue receivables, and links to the documents behind the answer. It reads only what the user asking is allowed to see, and it does not make entries on its own.

Can we move our data from Excel or our current software?

Yes. Item, party and supplier masters, opening stock and balances are migrated during setup. Migration is quoted separately because its effort depends on how clean the current data is, which we check first.

How long does an ERP implementation take?

A first module can be live in weeks; a full rollout across purchase, stock, sales and accounts takes months rather than weeks. The pace is set by data cleanliness and how quickly your team adopts it, which is why we go module by module.

Do you support businesses outside Lucknow?

Yes. Our office is in Lucknow, so Lucknow implementations are done on site. Elsewhere in India we work remotely with planned site visits for go-live.

Should we buy an off-the-shelf ERP instead?

If your processes are standard and you want the lowest running cost, a packaged ERP is often the right answer and we will say so. AI ERP makes sense when your process doesn’t fit a package without heavy customisation, or when you want the ERP set up around how you already work.
